Wholesale Administrative Assistant 

 

Location: Charlotte, NC, US

 

The Wholesale Administrative Assistant supports the Wholesale Sales team with administrative, meeting, and event-related tasks. This position works closely with internal stakeholders to facilitate meetings, customer engagement, sales reporting, and operational processes. The ideal candidate for this position is eager to take on new challenges and collaborates effectively in a team environment.

 

 

Key Responsibilities

 

  • Provide administrative support to the Wholesale Sales team to ensure efficient daily operations.
  • Coordinate meetings by managing scheduling, materials, meals, and logistics. Meetings may include departmental sessions, customer visits, annual sales meetings, and industry events.
  • Assist in preparing and maintaining reports, presentations, and documents.
  • Support financial and expense processes, including budget creation, monitoring, and reporting. Provide variance analysis on Wholesale expenses.
  • Maintain departmental calendar, schedules, contact lists, and distribution groups.
  • Serve as a resource for administrative processes, systems navigation (Concur, Salesforce, SAP), and operational questions
  • Support onboarding, transitions, and team changes as needed within Wholesale Sales.
  • Perform other duties and special projects in support of Wholesale Sales objectives
  • Partner with the Event Coordinator on larger meetings and events by providing administrative and logistical support as assigned. Some events may require overnight travel.

 

Qualifications

 

  • Demonstrated proficiency in Microsoft 365.
  • Excellent organizational, communication, and time management skills.
  • Self-starter with strong troubleshooting skills.
  • Ability to manage confidential information with discretion.
  • Ability to work onsite Monday through Friday and collaborate closely with internal stakeholders.

 

Preferred Skills

 

  • Strong attention to detail and ability to work independently.
  • Experience supporting sales teams, meetings, or events
  • Working knowledge of SAP, Salesforce, and Concur, or a willingness to learn.

 

Education and Experience:

  • High school diploma required, Bachelor’s degree in Business Administration or related field preferred.
  • At least three years of related experience.
