Job Title: HR & Payroll Specialist
Position Summary
The HR & Payroll Specialist is responsible for the accurate and compliant administration of multi-state payroll while providing broad HR operational support within a manufacturing environment. This role serves as a key operational partner to HR leadership by ensuring payroll integrity, maintaining HR data accuracy, supporting employee programs, and assisting with workforce reporting and administrative initiatives.
The position requires strong attention to detail, systems proficiency, discretion with sensitive information, and the ability to support organizational change initiatives, including HR system integrations and process improvements.
Essential Responsibilities
- Process weekly payroll in compliance with federal, state, and local wage and hour laws.
- Maintain payroll records, earnings codes, tax configurations, and deduction tables.
- Audit payroll transactions for accuracy including overtime, shift differentials, and special pay codes.
- Administer wage garnishments, tax levies, child support orders, and required withholdings.
- Reconcile payroll data to timekeeping systems and coordinate corrections as needed.
- Assist with year-end processing including W-2 preparation and payroll tax reporting.
- Respond to payroll-related inquiries in a timely and professional manner.
- Support payroll parallel testing and validation during HRIS implementations or system changes.
- Timekeeping & Workforce Reporting
- Monitor timekeeping system accuracy and partner with supervisors on corrections.
- Generate and distribute labor and attendance reports for operational leadership.
- Identify discrepancies and escalate potential compliance concerns.
- Maintain documentation of pay-related adjustments and approvals.
- HR Operational Support
- Support onboarding and offboarding administrative processes.
- Assist with service award tracking and employee recognition programs.
- Coordinate logistics for employee events and company initiatives.
- Maintain personnel files and HR documentation in compliance with regulatory requirements.
- Assist with benefit-related payroll deductions and reporting.
- Provide cross-functional support to HR team members as needed.
Qualifications
- Bachelor's degree or relevant years of payroll processing experience.
- Working knowledge of FLSA and state wage and hour regulations.
- Experience with payroll and timekeeping systems.
- Strong Excel and reporting skills.
- High level of accuracy and attention to detail.
- Ability to manage confidential information with professionalism and discretion.
- Strong organizational and communication skills.
- Ability to adapt to evolving systems, processes, and organizational needs.
Preferred Qualifications
- Experience participating in HRIS or payroll system implementation.
- CPP certification or pursuit of certification.
- Experience in manufacturing or multi-site operations.
